Duties & Responsibilities:
To ensure a smooth co-ordination between Sales Department, Front Office/Reservations Department, Food & Beverage Department and Credit Manager.
To maintain the booking status on the Banquet Book and stay close collaboration with the Director of Food & Beverage.
Keep track on confirmed, tentative & lost booking, where the function rooms are concerned.
Prepare weekly statements on booking status, to enable sales staff to give immediately confirmation.
Leads from Sales Banquet Department or any other source must be investigated and clients furnished with information as soon as possible and to be given to the Sales Manager or the Director of Sales.
To follow all Social functions, and other tentative banquet inquiries, converting these leads to positive commitments where possible.
To meet with the organizers of functions to discuss the final details for billing purposes.
To meet with potential clients in the hotel, discuss possible functions and hand over quotation demands to the Sales Manager for follow-up purposes.
To be in close relation with Sales Managers to ensure that the agreements etc are properly issued an signed by the client.
To control Internal Breakdowns of packages issued by the Sales Managers and its distribution to concerned parties, to ensure that all aspects of the forthcoming function are handle in a professional manner and mistakes are minimized.
Pass on to Sales department (Room) leads for accommodation etc.
Establish contact with potential companies and expand to the fullest their business for the Hotel in product launches banquets, staff social, etc.
Establish and maintain contact with all organizers of social clubs and associations.
Establish and maintain all contact before and after sales service.
To complete and submit weekly banquet reports including tabulating total revenue, lost business report and new client.
Assist with input in the Market Plan.
Send a confirmation letter to all personal contacts as soon as a booking is made.
Assists in meeting annual objectives of the Sales Department/F&B Department as outlined in the Market Plan.
